Production Assistance Coordinator

Women Make Movies, a non-profit media organization based in NY, is the leading distributor of films by and about women in North America.  Founded in 1972, WMM is a pioneering, feminist social enterprise with a 90% earned income revenue stream.  Our Production Assistance Program assists women directors with their productions from concept through completion with fiscal sponsorship, consultations and other technical assistance.   From cutting-edge documentaries that give depth to today’s headlines to smart, stunning films that push artistic and intellectual boundaries in all genres, we work with creative, ground-breaking films which win awards at festivals around the world.
 
Women Make Movies is seeking a Coordinator for its Production Assistance Program. The program supports women media makers through a variety of services such as fiscal sponsorship, consultations and workshops and webinars.  Currently more than $6 million is received on behalf of more than 300 films in the program.   Films are in all stages from production through completion.  The Coordinator reports to the Director of the Production Assistance Program and is responsible for all administrative aspects of the program including but not limited to:
 
Finance & Program Administration:
The Coordinator is responsible for the day to day administration of the program including  but not limited to new applicants, processing weekly contributions and disbursements;  processing applications & contracts, generating acknowledgement letters; maintaining the fiscal sponsorship database, end of the year reporting and dues management and assisting the finance staff with annual reporting. 
 
Program & Marketing

  • The Coordinator is responsible for coordinating the webinars and workshop program including setting up webinars on the Zoom and Eventbrite platforms, preparing materials and handouts,  facilitating the functioning of the events, and working with our marketing staff and partners to promote all aspects of the program, particularly through social media. 
     
    Additional responsibilities include:
  • Handling inquiries and providing information to program participants and the general public.
  •  Preparing contents for monthly newsletter
  • Supervising the Production Assistance intern
  • Other tasks as assigned

Skills, Qualifications and Other Requirements:
This position offers the opportunity to grow with a rapidly expanding program.  We are looking for someone with an entrepreneurial spirit who will bring fresh ideas for increasing the benefits and opportunities for filmmakers in the program. The ideal candidate will have at least 2-3 years of administrative experience in a non-profit setting, strong technical skills including knowledge of webinar platforms and social media experience.   Workshops and other events generally take place after 6pm so some evenings are required.  Experience with artist services and/or fiscal sponsorship administration is a plus.

  • Detail-oriented with strong follow through
  • Ability to prioritize and problem-solve while handling multiple tasks
  • Superior written and verbal communication skill
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook
  • Flexibility, professionalism, and a positive attitude
  • Sense of humor appreciated
  • Commitment and experience with feminist film a plus

Qualifications & Time Commitment

Qualified candidates will demonstrate excellent communication skills; strong organizational skills; the ability to multi-task, work independently and work well under pressure; and will take initiative. Familiarity with Internet research, Windows XP and the Microsoft Office Suite necessary. Knowledge of and interest in feminist media a plus.

Interns are asked to work a minimum of 15 hours per week during the school year and 24 hours per week in the summer. Duration is flexible to meet university requirements, but a minimum commitment of three months is optimal. All interns will be required to sign an Internship Letter of Agreement that outlines the duration and schedule of their internship.
